Retrieving your documents from our safe custody


You may retrieve your documents from our custody at any time. Please contact us to request an ‘Authority to Release Documents’ form.

Please note that most Certificates of Title are stored at the Land Titles Office in Hobart on behalf of Sproal. We will request that the Land Titles Office forward your Certificate of Title upon receiving your release request. Please allow at least seven days.

Verification of ID

It’s our duty to keep your information and documents safe. If we are holding any documents on your behalf, you must provide us with verification of your ID to our satisfaction before we release your documents.

You have a few options:

  • You can attend our office with your ID and collect your documents personally (recommended). If we hold a document on behalf of multiple people (for example, the title to a jointly owned property), all people must attend our office with their ID before we will release the document.
  • We can verify your ID remotely by forwarding you a link to complete InfoTrackID. InfoTrackID is an easy-to-use online identity verification platform that allows you to complete your VOI from home. InfoTrack charge a fee of $13.75 incl GST per person.
  • Complete an identity check with Auspost and provide us with their report (download form).
  • Provide a copy of your ID certified by a solicitor or a conveyancer confirming that they have identified you in person. The person confirming your identity must include their full name, occupation and contact details.
Documents

Processing fee

Whilst we are happy to store your documents at no charge, we may require payment of a processing fee upon release of your documents.

Collection Protocol

You will need to make an appointment to collect the documents.

Please do not attend the office unannounced as the documents may not be available on-site.

Delivery Protocol

We can post your documents to you via registered post. The registered post fee is $15.00.

Confirming Receipt

You must provide us with signed receipt to confirm you have taken away an original document if collected, or acknowledge safe receipt if we post an original document to you.

Releasing documents to a third party

We can release your documents to a third party provided you note their details on the ‘Authority to Release Documents’ form and the authorised person presents their ID when they come into the office to collect your documents.

Releasing documents to an Executor of an estate

Executors can request documents from us. We will need:

  • A certified copy of Probate – if releasing a Certificates of Title
  • A certified copy of the Death Certificate – if releasing a will
  • A certified copy of Probate or a certified copy of the Death Certificate and a copy of the deceased’s will – for all other documents
  • An ‘Authority to Release Documents’ form – signed by all Executors
  • Verification of identity for all Executors (see above)
  • If an Executor has died, we will need a certified copy of their Death Certificate.
